Vessel Compliance Administrator

Work as part of the team which monitors and maintains compliance with the regulatory requirements for documentation and certification of yachts and seafarers. The job-holder will become an expert in vessel documentation. Monitor and expedite the management and close out of audit findings, vessel defect reports and incident reports.

Duties

Support the compliant and safe operation of yachts managed by the Company by ensuring vessels are surveyed and certificated according to international regulation. This includes:

  • Verifying certificate expiry and other dates in the Safety Management System;
  • Arranging for annual, intermediate and renewal surveys as required;
  • Monitoring the arrangements for internal audits and inspections of vessels in accordance with the annual plan;
  • Verifying correct presentation of documents and removing out of date or duplicate documentation in the Safety Management System;
  • Reporting any areas of non-conformity to the vessel/Yacht Manager and following up as required.

Monitor and expedite workflow through the SMS:

  • Assess whether workflow actions are being performed on time;
  • Follow up with users to establish the reasons for any delay or inaction;
  • Gather user feedback and consider any requirements to modify or adapt workflows or processes;

Review reports received following survey, audit or inspection to establish whether follow up action is required:

  • Ensure an audit finding form is properly prepared and submitted for each finding;
  • Follow up where causal analysis or explanation is incomplete or insufficient;
  • Consider the appropriateness of the proposed corrective action;
  • Follow up and expedite the completion of corrective action; in accordance with the agreed timescale and to the satisfaction of the auditor, Flag Administration or Port State.

Assist with preparation for the monthly company Safety and Security meetings and annual review of the company SMS:

  • Collate information relating to audit findings, vessel defect reports and incident reports;
  • Collate information relating to vessel certification and external visits from Class, Flag, or Port State;
  • Assist with other items as required.

Assist the Assistant Compliance Manager and Crew Compliance Administrator with verifying that yachts are correctly crewed and seafarers properly certificated:

  • Assist with verifying that certificates are correctly presented on Burgess Manage;
  • Assist with verifying that Seafarers are certificated in accordance with the requirements of STCW and MLC as appropriate.

Corporate

  • Act as a BM Super User - guiding and supporting colleagues to maximise value from the system;
  • Become a ‘cyber champion’ – help to harden and protect the Company against the risk from cybercrime;
  • Other tasks as reasonably requested.

 

Personal attributes and qualifications

Desirable:

  • Seafaring experience, preferable with an officer of the watch (deck or engine) CoC, Yacht Master Coastal/Offshore/Ocean, Yacht Rating, or other related qualification.

Experience and ability:

  • Skilled at solving problems and analysing information.
  • Diligent attention to detail.
  • Exceptional written and verbal communication skills, including tact and diplomacy.
  • Ability to develop a good working knowledge of relevant international maritime regulation including ISM, ISPS, SOLAS, MLC & STCW.
  • Resident within daily commuting distance of central London.
  • Good sense of humour.
