Technical Compliance Assistant
We are looking for a technical compliance assistant to join the Yacht Management team in their central London office.
Job Purpose
The primary purposes of this role are to:
- Verify that the maintenance, inspection and defect reporting arrangements for yachts are operated in accordance with the requirements of the Company Safety Management System (SMS)
- Verify that routine Environmental performance reports are submitted on time and completed correctly
- Prepare and submit applications for US environmental permits (COFRs & NTVRPs)
- Understudy the Assistant Manager, Environment to develop a good understanding of the role and to provide Develop a good understanding of ISM requirements and the operation of the Company’s Safety Management System in order to provide mutual support to other members of the team.
Functional Responsibilities
Yacht Maintenance:
- Verify that each yacht has assessed all ISM relevant and ISM critical equipment in accordance with the procedure set out in the SMS. Follow up and provide constructive challenge to address any perceived errors or omissions
- Review the annual maintenance plan for ISM relevant equipment. Verify that:
- the plan reflects maintenance requirements for all items shown on the ISM relevant and critical list, in accordance with regulatory and other requirements
- Maintenance requirements are reflected in the yachts planned maintenance system (PMS)
- Appropriate spare parts and service items are carried for ISM critical equipment
- The plan is reviewed annually and updated to reflect any changes.
- Where a yacht operates an IDEA planned maintenance system:
- Download the requisite maintenance reports and attach to the BY-24 maintenance report for the corresponding months
- All yachts:
- Review the BY-24 Monthly Maintenance Report, verify it is complete and that the required reports have been attached
- Review the reports to verify the maintenance status of ISM relevant and ISM critical equipment. Planned, Unplanned and Overdue
- Compare the current overdue report with previous month. Determine whether any maintenance is overdue in two successive months
- Write suitable observational statements the body of the BY-24 report or as a document comment (as appropriate)
- Determine whether any equipment in the PMS is showing as defective, if so check whether a BY-25 defect report has been opened. Where the defect relates to an ISM relevant or critical item, check that the defect report has been marked accordingly
- Bring new defect reports to the attention of the Yacht Manager and Technical Manager for the yacht in question
Environmental Performance:
- Verify that Ship Energy Efficiency Management Plans are submitted and completed. Check that the Energy Efficiency Operational Indicator has been calculated
Local Operating Requirements:
- Arrange local permits and operating plans, in particular compliance with US Oil Pollution Act 1990
- Assess requirements based on yacht operating plans
- Arrange for the provision of Non-tank vessel response plans (NTVRP)
- Apply for Certificate(s) of financial responsibility (COFR) as required
Corporate Responsibilities:
- Be involved in the development of yacht management and the Company’s industry presence
- Any other task reasonably requested
Personal attributes and qualifications
Experience and ability:
- Able to plan organise and administer own workload
- Written and verbal communication skills – tactful but firm, clear and concise
- Proficient with the use of business IT systems, computer and cloud based apps
- Willing to work as a member of a team
- Fluent in spoken and written English
- Eligible to live and work in the UK, Monaco/France or USA as applicable
- Resident within daily commuting distance of the nominated office
- Good sense of humour
